Our client is a group of companies, due to expansion they are in need of a SENIOR ADMINISTRATIVE EXECUTIVE.
LOCATION : Lagos
Job Summary : The ideal candidate will manage the day-to-day administrative operations across the company’s offices and
facilities, ensuring smooth, efficient, and compliant business support functions. The role will serve as the
operational backbone of the Administration department—overseeing logistics, facility maintenance, vendor
coordination, and vehicle management
This position requires a hands-on, proactive professional who can independently manage multiple administrative
tasks and drive continuous improvement in administrative processes.
JOB RESPONSIBILITIES :
- Supervise daily office operations and ensure all facilities are well-maintained, functional, and compliant with
- Manage service contracts for cleaning, maintenance, utilities, and security.
- Oversee procurement and inventory of office supplies, furniture, and equipment.
- Ensure timely resolution of facility-related issues and maintain preventive maintenance schedules.
- Coordinate with retail station managers to monitor administrative compliance (permits, fire safety, utilities, security, etc.).
- Track and report facility conditions across all retail locations.
- Support periodic facility audits and ensure corrective actions are implemented.
- Manage company vehicles, ensuring proper documentation, servicing, insurance, and licensing.
- Schedule and monitor driver assignments and vehicle usage.
- Maintain accurate records of fuel, repairs, and vehicle performance metrics.
- Handle travel arrangements, logistics coordination, and hospitality support for staff and management.
- Assist with vendor management and ensure service-level compliance.
- Support budgeting and cost control for administrative expenses.
- Maintain organized filing systems for administrative documentation and reports.
- Maintain up-to-date administrative records, including asset registers, contracts, and service reports.
- Prepare periodic reports on administrative activities, expenditures, and facility performance.
- Support HSE compliance initiatives and facility inspections.
JOB REQUIREMENTS :
Bachelor’s degree in Business Administration, Management or related field.Minimum of 4 – 6 years’ experience in administration or facilities management, preferably within downstream oil & gas space.Strong knowledge of facilities management, vehicle administration, and vendor management.Experience managing multi-site operations and coordinating with diverse stakeholders.Familiarity with HSE standards and workplace compliance requirements.Ability to manage vehicle fleet, ensuring maintenance, compliance, insurance, and efficient utilization.Deep understanding of workplace standards, with the ability to enforce compliance across facilities.
