About the Role
We are seeking a highly organized and detail-oriented Executive Assistant with a strong background in bookkeeping and accounting. This hybrid role combines administrative support with financial management responsibilities, ensuring smooth day-to-day operations for leadership while maintaining accurate financial records.
Key Responsibilities
Executive Support :
- Manage calendars, appointments, and scheduling for senior leadership.
- Coordinate meetings (virtual and in-person), prepare agendas, and record minutes.
- Handle correspondence, emails, and calls with discretion and professionalism.
- Assist with travel planning, itineraries, and logistics.
Bookkeeping & Accounting :
Maintain accurate financial records, invoices, and expense reports.Support accounts payable / receivable and reconciliations.Assist in budget preparation, cash flow tracking, and financial reporting.Ensure compliance with company financial policies and procedures.Office & Operations Support :
Organize and maintain digital and physical files.Support HR-related tasks such as onboarding and maintaining employee records.Assist with project coordination and follow-up on deliverables.Provide general administrative support to ensure operational efficiency.Qualifications & Skills
Proven experience as an Executive Assistant, Administrative Assistant, or similar role.Strong bookkeeping / accounting experience (QuickBooks, Xero, or similar software preferred).Excellent organizational, multitasking, and problem-solving skills.Proficient in MS Office Suite (Word, Excel, PowerPoint) and Google Workspace.Strong communication skills (written and verbal).Ability to work independently with discretion and confidentiality.Bachelor’s degree in Business Administration, Accounting, or related field (preferred).
