Job Summary

  • We are seeking a highly organized, proactive, and responsible Office Assistant to provide administrative and operational support across the organization.
  • The ideal candidate will help ensure the smooth day-to-day running of the office by managing reception duties, office supplies, records, facilities, logistics, and general administrative tasks.
  • The successful candidate must be professional, detail-oriented, resourceful, and able to work effectively in a fast-paced environment.

Key Responsibilities
Reception & Front Office Management:

  • Greet and attend to visitors, clients, and vendors in a professional and welcoming manner.
  • Answer, screen, and direct incoming calls and inquiries appropriately.
  • Receive, sort, distribute, and dispatch incoming and outgoing mails, packages, and shipments.
  • Maintain a neat, organized, and professional reception and office environment.

Administrative Support:

  • Provide general administrative and clerical support to the MD, Operations, Sales, and other teams as required.
  • Assist with data entry, word processing, photocopying, scanning, printing, and document preparation.
  • Schedule appointments, meetings, and meeting rooms.
  • Maintain accurate physical and digital filing systems.
  • Handle confidential documents and information with discretion.

Office Supplies & Inventory:

  • Monitor office supplies and consumables to ensure adequate stock levels.
  • Prepare and process requests for office supplies and other administrative needs.
  • Maintain proper records of office supplies, purchases, and usage.
  • Liaise with approved vendors and suppliers when necessary.

Facilities Management:

  • Ensure the office environment is clean, organized, hygienic, and properly maintained.
  • Liaise with building management, cleaners, technicians, IT personnel, and other service providers when required.
  • Report maintenance issues, equipment faults, and facility concerns promptly.
  • Assist in ensuring office equipment and facilities remain functional and in good condition.

Logistics & Event Support:

  • Coordinate office-related deliveries, dispatches, and transportation arrangements.
  • Assist with logistics for company meetings, events, team lunches, and employee activities.
  • Support the Operations Team with general logistical tasks as assigned.
  • Coordinate with vendors and service providers to ensure timely delivery of required services.

Record Keeping & Documentation:

  • Maintain accurate records of office activities, purchases, deliveries, and administrative transactions.
  • Organize and update physical and electronic records.
  • Ensure documents are properly filed and easily accessible when required.
  • Maintain confidentiality of company and employee information.

Expense & Petty Cash Support:

  • Assist with processing invoices, receipts, expense reports, and petty cash transactions.
  • Maintain proper documentation for office-related expenses.
  • Support the relevant team in tracking routine administrative expenses.
  • Ensure expenses are properly recorded and supported by relevant documentation.

Qualifications

  • Minimum of an SSCE / OND; HND or Bachelor's Degree in Business Administration, Office Administration, or a related field is an added advantage.
  • Minimum of 1 year of experience in an administrative, clerical, office assistant, receptionist, or similar role.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel.
  • Good verbal and written communication skills.
  • Strong organizational and time-management skills.
  • Good attention to detail and accuracy.
  • Ability to multitask and prioritize responsibilities effectively.
  • Ability to work independently while also functioning effectively as part of a team.

Other Requirements:

  • Must reside within the Ikeja, Ogba, Ojodu, or surrounding axis of Lagos.
  • Must be reliable, punctual, organized, and professional.
  • Must demonstrate good interpersonal and customer service skills.
  • Ability to handle confidential information responsibly.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • Ability to occasionally lift and move office supplies or equipment where necessary.
  • Must be willing to perform other reasonable administrative duties as assigned by management.
