The Supply Officer is responsible for planning, sourcing, purchasing, and managing the supply of goods and services required for smooth organizational operations. The role ensures timely availability of quality materials at competitive prices while maintaining strong supplier relationships and compliance with procurement policies.
Key Responsibilities :
Plan and manage the procurement of goods, materials, and services in line with operational needs.
Source, evaluate, and negotiate with suppliers to achieve cost-effective purchasing.
Prepare purchase requisitions, purchase orders, and related procurement documentation.
Monitor inventory levels and coordinate timely replenishment to avoid stock-outs or overstocking.
Ensure goods received meet required quality, quantity, and specification standards.
Coordinate with warehouse, logistics, and finance departments for receiving, storage, and payment processing.
Maintain accurate records of suppliers, purchases, contracts, and inventory movements.
Monitor supplier performance and resolve delivery or quality issues.
Ensure compliance with procurement policies, ethical standards, and regulatory requirements.
Conduct market research to identify new suppliers and cost-saving opportunities.
Support audits by providing procurement and inventory documentation.
Prepare periodic procurement and supply reports for management review.
Qualifications & Skills :
Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.
Proven experience in procurement, supply, or inventory management roles.
Strong negotiation, sourcing, and vendor-management skills.
Good knowledge of inventory control and supply chain processes.
Proficiency in Microsoft Office and procurement or ERP systems.
Strong organizational, analytical, and record-keeping skills.
High level of integrity, accountability, and attention to detail.
Ability to work under pressure and meet deadlines.
