Overview
We are recruiting for a Secretary / Administrative Officer to provide comprehensive administrative, accounting, and operational support.This role is responsible for invoice preparation, driver payment initiation, insurance and compliance tracking, professional communication management, and accurate financial and administrative record-keeping.The successful candidate will work closely with operations teams, field managers, drivers, company management, and key client representatives to ensure smooth, accurate, and timely logistics and financial processes.Key Responsibilities
Prepare, process, and track invoices and waybills to ensure accurate and timely client payments.Initiate and manage driver payments, salaries, and dispatch allowances using Xero, in collaboration with operations teams.Maintain accurate financial, administrative, and operational records using Xero and spreadsheets.Monitor vehicle insurance, roadworthiness, and statutory compliance documents, ensuring timely renewals and proper filing.Manage professional email correspondence and provide administrative support while coordinating with operations teams, drivers, management, and client representatives.Requirements
Minimum of OND / HND / BSc in Business Administration, Accounting, Finance, or a related field.Proven work experience of 13 years in an administrative, secretarial, or accounts-related role.Proficiency in Xero accounting software (mandatory).Strong working knowledge of Microsoft Excel and / or Google Sheets.Experience in invoicing, payments, and record-keeping.Excellent written and verbal communication skills.Strong time-management and organizational skills.Prior experience in logistics or transport operations is an added advantage.
