Across nine countries that together are home to two-thirds of Africa's farmers, we provide high-quality farm supplies, tree seedlings, accessible credit, modern agronomic training, and a wide range of other agricultural services. On average, this model enables any farmer to increase their income and assets on supported land by more than 35 percent, while permanently improving their resilience. The Nigeria program, established in 2018, is headquartered in Minna, Niger state. We're currently serving over 300,000 unique farmers across the state via our inputs on credit 'Core' program, inputs on cash 'Retail' program, and have a free tree seedling distribution 'Agroforestry' program. Specific Responsibilities

The Administrative Officer will ensure smooth office operations by managing administration, supplies, guest services, and facility maintenance. He / She will Support staff welfare, vendor coordination, security, and office culture initiatives.

Office Environment :

Responsible for supervising the office cleaners and ensuring the cleanliness of all Lafia offices and Guest Houses.

Ensure proper and clean management of the office area and surroundings at all times.

Ensure that all OAF visitors, interview candidates, and new hires are treated with respect

Escalate welfare issues of the office environment staff where necessary.

Office Administration

Custodian of office keys (store room, all the doors) Label, make (if required), and store copies of all office keys.

Daily office opening and closing of the office

Liaise with OAF vendors to ensure smooth logistics of items purchased

Receive and dispatch items from and to the OAF HQ office.

Identify and onboard potential vendors for services that may be required

Manage the welfare of office staff e.g. coordinating the provision of office lunch

Custodian of documents related to CRO, such as receipts

Provide office admin support e.g printing of documents, filing documents

Responsible for ensuring the cleaning of the guest house all the time (cleaning duties such as dusting or mopping, scrubbing, and sweeping floors).

Ensure proper and clean management of the guest house and surroundings at all times.

Ensure basic supplies for meals and cleaning are in stock at all times.

Ensure that all OAF visitors who are accommodated are looked after and treated with dignity.

Ensure all facilities-related issues are escalated promptly to the facilities team for resolution.

Office Supplies :

Daily manage and update hard and soft copy trackers of all the needed office supplies

Make copies of hard-copy trackers when the need arises.

Work with procurement and procurement systems to ensure timely procurement of needed office supplies.

Liaise with the supervisor to provide updates on the office stock-in and stock-out system

Ensure timely payment of office bills every month e.g. electricity, internet

Daily summary report of items used to report officer

Timely submission of all office supply requests

Weekly reconciliation report of items used, pending, and needed to re-stock

Management of the office storeroom.

Office Culture

Champion OAF culture by incorporating OAF values into your work

Collaborate and support the event planning of all team bonding, team meetings, training and office engagement activities.

Guest Management :

Support booking of hotels and accommodation for guests

Receive all OAF office guests with the utmost professionalism, respect, and politeness

Respond to and support all OAF Office guests on any queries

Register all OAF Office staff on the visitor's registry

Ensure that all OAF visitors, interview candidates, and new hires are well-acquainted with the

organization and office environment

Provide accommodation support to all internal and external OAF guests

Office Security :

Work with OAF security staffers to ensure adherence to security SOPs and minimum standards

Ensure daily attendance of all security guards at the office (am and pm)

Qualifications

Knowledge :

Operations Management

Qualification : Bachelors degree

2- 3 years of experience in Administration, Facility or Office Management, or similar roles.

Ability to plan, track, and support the delivery of operational projects, ensuring timelines and actions are followed through.

Experience working with vendors and providing task direction to drivers, office assistants, and outsourced staff.

Clear communication skills and ability to work effectively with cross-functional teams.

Proficient in Microsoft Office Suite, especially Excel. Familiar with HR digital tools and reporting systems.

In line with the job level.

One Acre Fund provides employees with a percentage of their basic salaries for housing allowance and child support.

Retirement savings : OAF contributes 10%, and you contribute 8% of your basic salary to your retirement savings account.

One Acre Fund also provides monthly reimbursements to cover work-related costs for transport and airtime.

Relocation support is not available for this position.
