ADMINISTRATIVE EXECUTIVE

Job Summary :

We are seeking a detail-oriented and proactive Administrative Executive to support the day-to-day

operations of our organization. The ideal candidate will manage administrative tasks, streamline

office procedures, and ensure the smooth functioning of our administrative functions. This role

requires strong organizational skills, excellent communication abilities, and a solid understanding of

administrative practices in a service based organization.

Key Responsibilities

  • Office Management : Oversee daily office operations, including managing office supplies,

equipment maintenance, and ensuring a clean and organized work environment.

  • Documentation and Record Keeping : Maintain and manage company records, including
  • production logs, inventory records, and financial documents. Ensure all records are accurate,

    up-to-date, and easily accessible.

  • Communication : Serve as the primary point of contact for internal and external
  • communications. Handle phone calls, emails, and correspondence efficiently and

    professionally.

  • Scheduling and Coordination : Coordinate meetings, appointments, and travel arrangements
  • for executives and other staff members. Organize and schedule company events and

    training sessions as needed.

  • Customer and Supplier Interaction : Interface with clients, suppliers, and vendors to address
  • inquiries, process orders, and resolve issues related to products or services.

  • Financial Administration : Assist with invoicing, purchase orders, and expense reporting.
  • Monitor budgets and expenditures to ensure financial efficiency.

  • Compliance and Safety : Ensure that the company’s administrative practices comply with
  • industry regulations and safety standards. Assist in the preparation of reports for regulatory

    agencies as required.

  • Data Entry and Reporting : Input data into company systems and generate reports on various
  • metrics, such as production output, inventory levels, and sales figures.

  • Support to Management : Provide administrative support to senior management and other
  • departments as needed. Prepare presentations, reports, and other documentation for

    meetings and strategic planning.

    Qualifications :

  • Education : Bachelor’s degree in business administration, Management, or a related field
  • preferred. Relevant certifications or training in office management or administration are a

    plus.

  • Experience : At least 3 years of experience in an administrative role, preferably within the
  • construction, manufacturing or industrial sector. Familiarity with construction industry

    operations is advantageous.

  • Skills :
  • o Proficiency in office software (Microsoft Office Suite, Google Workspace, etc.)

    o Strong organizational and time-management skills

    o Excellent verbal and written communication skills

    o Ability to multitask and handle a fast-paced work environment

    o Attention to detail and accuracy in all tasks

    o Problem-solving skills and a proactive approach to administrative challenges

    Working Conditions :

  • Hours : working hours 8 : 00 AM - 5 : 00 PM, Monday to Friday
