The IACD Depot Officer is responsible for ensuring timely and accurate fund confirmation, stock monitoring, product verification, and proper documentation of all depot-related activities. The role supports operational efficiency by coordinating with Finance, Sales, and Operations to maintain accuracy, compliance, and seamless depot processes.
RESPONSIBILITIES AND ACCOUNTABILITIES
Financial Operations
Confirm funds received from the Finance Department in real-time to support loading and product dispatch.Review and validate refund requests from the Sales Department to ensure correctness and compliance.Carry out end-of-month cash count in line with audit and internal control procedures.Respond to requests from the Sales Department, including adjustments to product quantities or documentation.Stock & Inventory Management
Monitor stock levels daily and report variances promptly.Conduct physical verification of purchased items to confirm quantity, quality, and compliance.Review and document cargo received from vessels, ensuring consistency with expected volumes.Perform end-of-month product and tank dipping to reconcile physical stock with system records.Equipment Maintenance & Technical Support.
Respond to gantry-related issues and escalate them as necessary.Work with the Depot Manager to agree on maintenance activities within the gantry and depot area.Liaise with the Maintenance Department for checks on meters, loading arms, valves, and related facilities.Reporting & Documentation
Prepare and submit monthly depot / terminal reports detailing key operational activities.Provide timely reports and updates to the Line Manager and relevant departments.Compliance
Ensure compliance with internal controls, SOPs, and audit standards.Perform any other duties assigned by the Line Manager to support smooth depot operations.Job Requirements
Education & Qualifications
Bachelor's degree in Accounting, Finance, Business Administration, or a related field.Professional certification (ICAN, ANAN, or similar) is an added advantage.Minimum of 23 years' experience in depot operations, finance operations, reconciliation, or inventory management.Experience within the oil & gas downstream sector is an added advantage.Skills & Competencies
Strong analytical and reconciliation skills.High attention to detail and accuracy.Good understanding of depot operations and product accounting.Proficiency in Microsoft Excel and ERP systems.Effective communication and interpersonal skills.Strong integrity and adherence to internal controls.Ethical, discreet, and professional in handling sensitive information
