Job Summary
- The Executive Assistant will provide high-level administrative and operational support to Executive/Management, ensuring effective coordination of schedules, communications, and organizational activities.
- The role requires discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage the executive's calendar, schedule appointments, and coordinate meetings
- Organize and prepare materials for meetings, including agendas, minutes, and presentations
- Screen and prioritize correspondence, calls, and emails on behalf of the executive
- Coordinate travel arrangements, including itineraries, accommodation, and logistics
- Liaise with internal departments and external stakeholders on behalf of the executive
- Draft, review, and proofread official correspondence, reports, and documents
- Maintain confidentiality of sensitive company and executive information
- Track action items and follow up on deliverables to ensure timely completion
- Organize and maintain filing systems, both physical and electronic
- Assist in planning and coordinating company events, board meetings, and special projects
- Perform other administrative duties as assigned
Requirements
- Bachelor's degree in Business Administration, Management, or a related field
- 4 – 6years' experience in an executive assistant, personal assistant, or similar role
- Excellent written and verbal communication skills
- Strong organizational and time-management skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- High level of discretion and professionalism in handling confidential matters
- Ability to multitask and work under pressure with minimal supervision
