Job Summary
The Procurement Officer will be responsible for sourcing, evaluating, and purchasing quality goods and services required for hotel operations at competitive prices.This role ensures that all procurement activities align with the organization's quality standards, cost efficiency goals, and timely delivery requirements while maintaining compliance with company policies and supplier agreements.Key Responsibilities
Procurement & Sourcing :
Source and procure food, beverages, equipment, consumables, and other supplies for hotel departments (kitchen, housekeeping, F&B, front office, etc.).Identify reliable suppliers and maintain strong vendor relationships to ensure quality and timely delivery.Obtain and analyze quotations, negotiate pricing, payment terms, and delivery schedules.Conduct regular market surveys to ensure competitive pricing and identify alternative supply sources.Purchase Order Management :
Prepare, review, and process purchase orders in line with approved requests and budgets.Track and monitor deliveries to ensure timely supply and accurate documentation.Ensure that all items purchased meet quality, quantity, and specification requirements.Inventory & Cost Control :
Collaborate with the store and accounts departments to reconcile inventory and manage stock levels.Maintain accurate records of purchases, pricing, and supplier performance.Support cost-control initiatives and monitor procurement expenditures against budget.Work closely with the Finance team to ensure proper documentation and timely vendor payments.Compliance & Quality Assurance :
Ensure compliance with internal procurement policies, hospitality standards, and health / safety regulations.Verify supplier credentials, certifications, and adherence to quality standards.Participate in supplier evaluation and performance reviews.Reporting & Coordination :
Generate periodic procurement reports and updates for management.Support internal audits and provide documentation as required.Collaborate with kitchen, housekeeping, maintenance, and F&B teams to forecast supply needs.Key Requirements
Bachelor's Degree in Supply Chain Management, Business Administration, Hospitality Management, or a related field.Minimum of 25 years of experience in procurement or supply chain, preferably within the hospitality industry.Strong negotiation, communication, and vendor management skills.Excellent knowledge of purchasing procedures, cost analysis, and inventory systems.Proficiency in Microsoft Office Suite and ERP / procurement software.Detail-oriented with strong organizational and time management abilities.Integrity, professionalism, and ability to work in a fast-paced environment.
