ROLE OVERVIEW
The Executive Assistant to the Pioneer Executive Director will provide high-level administrative, operational, and strategic support to ensure the effective functioning of the Executive Director’s office. The ideal candidate will be highly organized, proactive, discreet, and capable of managing multiple priorities in a fast-paced environment.
KEY RESPONSIBILITIES
Administrative Support
- Manage and prioritize the Executive Director’s calendar, appointments, and travel schedules.
- Coordinate meetings, prepare agendas, and document minutes and action points.
- Prepare, edit, and manage correspondence, reports, presentations, and official communications.
- Maintain confidential files and documentation systems for easy retrieval.
- Facilitate communication and ensure timely responses to inquiries and requests.
- Process expense reports, reimbursements, and procurement-related requests.
- Support the smooth daily operations of the Executive Director’s office.
Project Management
- Assist with planning and coordinating projects and strategic initiatives.
- Track project timelines, milestones, and deliverables.
- Collaborate with internal teams to gather information and ensure project execution.
- Executive Brand & Communication Support
- Curate articles, interviews, and thought leadership content for the Executive Director.
- Maintain and update the Executive Director’s personal website.
- Transcribe interviews, speeches, and media appearances.
- Conduct research to support presentations, publications, and engagements.
- Manage the Executive Director’s professional presence on platforms such as LinkedIn and Instagram.
Requirements
- Bachelor’s degree in Business Administration, Social Sciences, Communications, or a related field.
- 5–7 years of relevant experience in an administrative or executive support role, preferably in a fast-paced organization.
- Strong proficiency in Microsoft Office, Google Workspace, and productivity tools.
- High comfort level with social media platforms including LinkedIn, Instagram, Twitter, and others.
