The Administrative Supervisor is responsible for overseeing day-to-day administrative operations to ensure efficient and effective support services across the organization. The role involves supervising administrative staff, managing facilities and office operations, coordinating logistics, monitoring vendors, and ensuring compliance with company policies and operational standards.
Key Responsibilities
Administrative Operations
· Supervise daily administrative activities and ensure smooth office operations.
· Coordinate office maintenance, facility management, and workspace management.
· Monitor cleanliness, repairs, utility services, and general office functionality.
· Ensure proper management of office assets, equipment, and consumables.
Fleet & Logistics Coordination
· Supervise drivers and monitor vehicle utilization.
· Coordinate staff transportation, travel logistics, hotel bookings, and protocol arrangements where required.
· Monitor vehicle maintenance schedules, fuel usage, and repairs.
Vendor & Service Management
· Liaise with vendors, contractors, and service providers.
· Ensure timely delivery of services and adherence to agreed service standards.
· Monitor vendor performance and escalate service issues where necessary.
Staff Supervision
· Supervise administrative assistants, cleaners, drivers, security personnel, and other support staff.
· Ensure discipline, attendance, and effective performance management of support staff.
· Coordinate staff schedules and operational coverage.
Reporting & Compliance
· Prepare administrative reports, operational updates, and expense summaries.
· Monitor administrative expenses and support budget control initiatives.
· Ensure compliance with company policies, safety procedures, and operational standards.
Guest House & Facility Support (Where Applicable)
· Oversee guest house operations and ensure facilities are properly maintained.
· Coordinate housekeeping, catering, and general hospitality services.
Requirements
Qualifications
· Bachelor’s Degree or HND in Business Administration, Management, or related discipline.
Experience
· Minimum of 4–6 years relevant experience in administration
· Strong organizational and supervisory skills.
· Good communication and interpersonal skills.
· Proficiency in Microsoft Office Suite.
· Ability to multitask and work under pressure.
· Experience in fleet, facility, or operations management is an added advantage.
